Job Description

Role Purpose & Context: Provide the necessary support to the field sales team. The sales Coordinator is the point of reference for colleagues and customers alike, by keeping schedules and providing feedback, documentation and information. The goal is to facilitate the team’s activities so as to maximize their performance. Key Responsibilities: Sales Administration/support • Work with the finance team and sales team to follow up on all invoices • Supporting the sales force with general sales operations to help reach the team’s objectives. E.g. proposal writing, bid preparation, etc. • Responding to complaints from customers and give after-sales support. • Communicating internally important feedback from customers. • Coordinating the sales team by managing schedules, filing important documents, updating the system and communicating relevant information. • Ensuring the adequacy of sales-related equipment or material • Alerting sales team to any urgent issues. • Update sales team pipeline and ensure weekly distribution to sales team clearly and accurately demonstrating sales actual vs. target. Order satisfaction • Process orders with accuracy and timeliness giving utmost attention to the correctness of the client need as captured vs. the price given. • Contact customers (and be clients ‘contact) to resolve any queries and constantly feedback to the sales and technical teams. Coordination • Collaborate with other departments such as Finance, Consulting and Learning to support their own execution of tasks like follow up on invoicing and writing technical proposals respectively. • Work closely with the Marketing team to ensure that the sales and marketing activities are integrated. The Sales coordinator shall arrange that presentations and supporting material are produced, to help the sales Execatives win business. Marketing Administration • Handle preparation and organizing of promotional material or events • Maintain all the company websites ( and and manage all the company social media pages (linkedin, Facebook, Twitter, etc). • Provide assistance in terms of logistics to events like meetings, CRS, exhibitions and trade shows. • Collect and communicate competitor information Reporting • Maintain sales records and prepare weekly Sales reports to the Sales and Marketing Manager. • Provide information to the finance department on incoming and completed orders, as a basis for forecasting cash flow. Other Activities • To liaise with and be a point of contact for other departments • Maintain all the sales folders on the Google cloud. Key Performance Indicators: • Up to date invoicing • 0% pending client complaints • Updated CRM • Adequate sales & Marketing materials • Weekly catch up meetings with Sales team. • Tracking sales performance versus target. • Updated social media channels (LinkedIn, Facebook, Twitter and the website. • Weekly report on competitors or market relevant information • Well maintained sales folders on Google cloud. Qualifications, Knowledge & Experience needed to meet the demands of the role (required/desired): • Bachelor’s Degree in a Business related Field. • A minimum of 2 year experience in a similar position • Organizing and analytical skills • Communication skills and ability to speak fluent English • Other skills and attributes • Interpersonal and problem solving skills. • High integrity and commitment to quality. • Ability to work independently or to work under minimum supervision. • Resilience, self-motivation and flexibility. • Willingness to learn and research.
