Position: EXECUTIVE DIRECTOR
Reports to: BOARD OF DIRECTORS
Responsible for ALL HEADS OF DEPARTMENT
PURPOSE: The Executive Director working closely with the Board will be responsible for providing strategic leadership, direction and resource support to ensure that the organization's goals and strategic objectives are achieved.
KEY RESPONSIBILITIES AND TASKS:
1. BOARD SUPPORT AND GOVERNANCE
(i) Key liaison person with the Board.
(ii) Develop and implement strategic plans in collaboration with the Board and Staff.
(iii) Develop and implement administrative plans in collaboration with the Board and Staff.
(iv) Recommend and develop relevant policies with the Board and Implement policies and procedures. (v) Ensure the agenda and supporting reports for Board meetings are provided to Board members prior to monthly meetings.
(vi) Attend and record minutes at board meetings.
(vii)Communicate with the Board of Directors in a concise, clear, comprehensive manner, to ensure that the Board has adequate information on the organization's activities to carryout effective decision making. (viii) Participate in meetings of the Board’s standing committees as required
(ix) Participate in other administrative functions as designated by the Board.
(x) Attend and report at Annual General Meetings.
(i) Provide leadership, direction and support to the organization's Management and Staff through effective communication, goal-setting, delegation and performance evaluations.
(ii) Identify and develop priorities in conjunction with the Board and the management team.
(iii) Facilitate the successful development and implementation of the Strategic Plan.
(iv) Identify and mitigate risks, seek opportunities for enhancing outcomes and ensure ongoing implementation of objectives.
(v) Encourage harmonious relationships between Board, Staff, Clients, and Community through effective communications.
3. FINANCIAL MANAGEMENT
(i) Ensure sound financial management and control, budget preparation and forecasting in accordance with all pertinent legislation and policy.
(ii) Oversee the preparations of the financial plans and annual operating budget for Board approval.
(iii) Develop annual programmes and project budgets in collaboration with the Head of Programmes. (iv) Manage the efficient and effective use of the organization's resources.
(v) Participate in the Board Finance Committee to ensure understanding of current financial position.
(vi) Act as a signing officer for the organization.
(vii)Oversee all accounting functions, including payroll, financial reporting and remittances to government and funding agencies.
(viii) Provide information to the organization's auditor regarding preparation of annual financial statements.
4. PROGRAMME/SERVICE DEVELOPMENT AND ACCOUNTABILITY
(i) Maintain an overview which ensures that all plans and practices fit with overall goals set by the Strategic Plan.
(ii) Design and develop programmes and services that meet contract expectations and guidelines and/or that address one or more of the organization's planned initiatives.
(iii) Ensure all programmes and services comply with contractual parameters.
(iv) Ensure provision of regular programme reporting to Board and funders.
(v) Conduct an annual evaluation of all programmes and services.
(vi) Collaborate with other service organizations to ensure best practices, information sharing and capacity building.
(vii)Develop and maintain administrative support systems as needed by the organization
(viii) Oversee and ensure risk management policies and procedures are in place to protect the agency, employees and/or volunteers from liability and other claims.
(ix) Establish and ensure that all professional and licensing requirements are in place to satisfy legal, regulatory and other requirements.
(x) Ensure organization's equipment and facilities are managed effectively and efficiently.
5. PEOPLE MANAGEMENT
(i) Ensure effective management of the human resources.
(ii) Be familiar with the organization's Human Resource policies, Employment Act, Health and Safety Act, and all relevant legislation.
(iii) Implement the terms and conditions of the collective agreement if available and consult with the relevant Trade Union.
(iv) Provide leadership to Staff, build a strong and collaborative team, facilitate open lines of communication, and ensure ongoing development, recognition and appreciation.
(v) Review and forward Job descriptions to the board for approval
(vi) Ensure Staff are informed and knowledgeable about operational policies and procedures and their implications and relevance to organization operations.
(vii)Ensure Staff have and maintain the required competencies to carry out their duties.
(viii) Ensure new Staff are oriented to programmes, policies and procedures, including their terms and conditions of employment.
(ix) Ensure Staff are adequately supervised and supported in their work.
(x) Ensure that annual performance review process for all Staff is conducted.
(xi) Oversee recruitment and hiring processes.
6. OPERATIONS AND FACILITIES MANAGEMENT
(i) Ensure annual capital and maintenance plans for the organization are in place.
(ii) Coordinate maintenance and capital purchase required throughout the organization.
(iii) Initiate and/or supervise financial changes or extensions, together with the Finance Committee.
(iv) Ensure that facilities comply with all applicable health and safety standards, including fire regulations and building codes, and all other relevant codes.
7. COMMUNICATION AND COMMUNITY RELATIONS
(i) Maintain communication of organization's needs and value to the community.
(ii) Represent the organization at various networking events.
(iii) Conduct activities such as interviews, news releases and newsletters to assist in proactive communication through the media are undertaken and appropriate responses are made to media inquiries.
(iv) Maintain a positive image and relationship with local, regional, national and funders and other organizations.
(v) Communicate with relevant stakeholders as appropriate.
(vi) Lobby in a non-partisan manner for client / Society needs.
(vii)Develop and manage an annual public relations plan
(viii) Coordinate public relations efforts and ensure unified messaging.
(ix) Initiate and/or supervise updating of informational and promotional materials.
(x) Ensure that the organization's programmes and the organization's profile are strategically promoted. (xi) Act as the organization’s spokesperson.
(xii)Promote the organization's mission and increase community awareness of the organization and its services.
(xiii) Identify and participate in events that will effectively establish community relations and enhance the organization’s visibility.
(xiv) Actively participate in professional association activities as appropriate. (xv)Represent the organization on appropriate committees, networks and joint projects.
8. RESOURCE DEVELOPMENT AND MAINTENANCE
(i) Diversify and coordinate fundraising efforts
(ii) Ensure recruitment and stewardship of donors
(iii) Oversee development of social enterprise opportunities
9. CONTRACT ADMINISTRATION
(i) Responsible for contract negotiations and ensure that contractual obligations are met
(ii) Review, negotiate and renew all contracts and extensions.
(iii)Be familiar with all contractual obligations and commitments of the Society.
(iv)Liaise and develop effective relationships with funding sources and regulatory bodies and ensure the submission of required reports and contract timelines are met.
(v) Research, develop and submit funding proposals and applications for funding from various sources.
QUALIFICATIONS AND EXPERIENCE:
(a) Degree in Economics, Finance, social sciences, Business Administration, development studies or other related disciplines plus a master’s degree in any of the following; Economics, commerce, management, business Administration or any other related field.
(b) Seven (7) years of working experience at a senior management level in NGO environment most preferably working with people with disabilities two (2) years of which should be at Chief Executive level.
(c) Proven experience working with donors and partners.

Most of the time is spent in an office environment with some upcountry travels and international travels.
