Role, Purpose & Context:
The post holder has the responsibility of ensuring a smooth running of the operations of the guest house: customer care, banking, lodging, housekeeping, procurement, health and safety, food, beverages and security.

Key Responsibilities: (bullet points)
 Organize and coordinate guest house operations to ensure maximum efficiency
 Coordinate reservations, room assignments, checking in and checking out of guests. (call clients as necessary to confirm/clarify reservation status)
 Manage the front office and delegate the role to other staff when not around. (First point of contact for all guests.
 Manage and uphold the high standards of the hostel.
 Recruit, supervise and evaluate guest house staff according to FOLs standards.
 Set up registration records and maintain records of guest residency dates
 Maintain a roster of all guest house staff members and staff attendance schedules
 To oversee the preparation of the guesthouse budgets
 Responsible for keeping track of lodging inventory (bed sheets, towels, soap) and cleanliness.
 Oversee the stock in flows and out flows and ensure a timely re-ordering / purchase
 Responsible for the preparation of the budget (weekly, monthly and annual) and monitoring of expenses.
 Supervise the procurement policy of FOL insofar as it relates to the guesthouses.
 Responsible for preparation and receipt of payment, safe keeping of cash and safe keeping and issuing of vouchers.
 Develop and maintain an accountable and transparent process to be shared with the Finance department
 Responsible for the banking function – deposits and withdrawal and sharing the accompanying paper work with the finance team
 Fully accountable for all the resources in the guesthouse
 Responsible for preparation of monthly occupancy reports to be submitted to the Head of Finance and Administration.
 Resolve non - emergency guest issues and report unusual activity and incidents to the Head of Finance and Administration.
 Contact appropriate people in case of an emergency and provide full a report of action taken.
 Responsible for participating in the development and implementation of procedures relating to guests.
 To network with other organisations in the hospitality sector and research best practice in the sector.
 To carry out any other duties relevant to this position which may reasonably be required from time to time by the Head of Finance and

Qualifications, Experience & Personal Attributes needed to meet the demands of the role (required/desired): Terms of Appointment: (Fixed permanent, outsource, etc.)
• BSc/BA in hospitality management, hotel management or any related course.
• Diploma in Hospitality Management

• A minimum of 2 years’ proven experience in Hospitality management
• Solid understanding of hospitality procedures and best practices
• Knowledge of quality standards (e.g. ISO) is an added advantage
• Proven experience in customer service
• Proficient in MS Office
